The first document a client sees, and the last one they come back to when there is an argument about what was promised. The quotation sets out the scope, the price and the timescale — and also how long it stays valid, without which old prices get produced months later. It states plainly what the price does not include, which heads off the most common falling-out at the start of a job.

Common questions

Does the quotation bind me if the client accepts it?

Within its validity period, yes — acceptance usually forms a contract on the stated terms. That is why the validity period is not a formality but your protection against an old price being accepted months later.

Why write down what the price does not include?

Because a client reads the price, not the scope. What is expressly excluded is what later gets commissioned and paid for separately, instead of being expected free because it was never mentioned.

Do I need a contract if the quotation is signed?

A signed quotation can do for a small job, but it does not deal with termination, liability or confidentiality. For continuing work it is the beginning, not a substitute for a contract.

How do I price it when the volume is unclear?

State how the price will be arrived at — an hourly rate, stages, a range with conditions — rather than giving a firm price for something undefined. The field for the pricing method exists for exactly this.
