Child sick: notice to the employer and leave to care (Germany)
When your child is ill and you have to stay at home in Germany: the letter telling the employer and asking to be released from work under § 45(3) of Book V of the Social Code (SGB V). It asks for paid leave where § 616 of the German Civil Code (BGB) or the employment contract gives it, and otherwise announces the claim for child sickness benefit (Kinderkrankengeld) from the health insurer. Application for exam adjustments at university for a disability or chronic illness (Germany)
The application to a German university's examination board for exam adjustments (Nachteilsausgleich) for a student with a disability or chronic illness: more time, breaks, a separate room, technical aids or another form of exam, without lowering the standard. Exam regulations must take the needs of disabled students into account (§ 16, fourth sentence, of the German Higher Education Framework Act, HRG). It gives the student number, the programme, the exams concerned, how the impairment affects them and the adjustments requested, with a medical certificate enclosed. Package holiday claim after your return: price reduction and damages (Germany)
The claim letter to the tour organiser after a defective package holiday, under the German Civil Code (BGB). You set out the defects and how you reported them on the spot, calculate the price reduction (§ 651m BGB), claim the cost of remedies you arranged yourself and other damage — where the holiday was seriously impaired, compensation for wasted holiday time too (§ 651n BGB) — and set a payment deadline. A consumer complaint to your electricity or gas supplier in Germany — a wrong bill, excessive instalments, a meter reading not taken over, a missing bonus or a termination left unconfirmed. The letter gives customer number, meter number and supply address, describes the problem, asks for a remedy and points to the four-week statutory deadline for an answer (§ 111a of the German Energy Industry Act, EnWG). Note excusing a pupil's absence from school (Germany)
The written note by which parents — or pupils who are of age — excuse an absence from lessons to the class teacher in Germany: with name and class, the days missed, the reason without a diagnosis and the day the school was told. For absences through illness, a medical appointment that could not be moved or an urgent family matter. When and how an absence must be excused is set by each Land's school law: in North Rhine-Westphalia at once and in writing; in Baden-Württemberg the school must be told by the second day and, if that was not in writing, the written note follows within three days. Asking your bank to refund a direct debit or cancel a standing order (Germany)
A letter to your German bank or Sparkasse to refund a direct debit, stop a debit that has been announced, refuse a payee's future debits, or cancel a standing order. A SEPA core direct debit can be reclaimed within eight weeks of the debit with no reason given (§ 675x of the German Civil Code, BGB), and a debit taken without a valid mandate up to 13 months later (§§ 675u, 676b BGB). Application to the energy conciliation body, Schlichtungsstelle Energie (Germany)
An application for conciliation to the Schlichtungsstelle Energie e.V. in Berlin, for when your electricity or gas supplier, network operator or meter operator in Germany rejected your complaint or did not answer within four weeks (§§ 111a and 111b of the German Energy Industry Act, EnWG). The procedure is free for consumers and the company must take part. The letter sets out the dispute, your earlier complaint, the company's answer and what you want, and states that no court is involved. The body also offers its own free online and paper form; this letter is the informal alternative by post or e-mail. In German.
Notice of defects on a package holiday, given on the spot (Germany)
The written notice of defects you hand to the tour rep or the tour organiser while still on holiday, under the German Civil Code (BGB). It lists the defects with dates, demands a remedy by a deadline and says you will otherwise arrange one yourself and claim the cost (§ 651k BGB). Without timely notice you lose the price reduction and damages to the extent a remedy was possible (§ 651o BGB). With a space for the rep to confirm receipt. The application to a school's head in Germany for adjustments (Nachteilsausgleich) for a pupil with a disability, a chronic illness or an impairment such as dyslexia: adapted conditions for tests and exams — more time, breaks, a separate room or aids — without lowering the standard expected. It describes how the impairment affects the pupil's work, the adjustments requested and the period, and encloses a medical or specialist report. Cancelling an insurance policy — home contents, liability, legal expenses and others (Germany)
A letter cancelling your home-contents, personal liability, legal expenses, buildings, accident or pet liability insurance in Germany: with ordinary notice at the end of the insurance period, within one month of a premium increase (§ 40 of the German Insurance Contract Act, VVG), after a claim, or, for contracts of more than three years, at the end of the third year (§ 11 VVG) — each time, failing that, for the earliest possible date. The partnership agreement for a German civil-law partnership (Gesellschaft bürgerlichen Rechts, GbR) under the law in force since 1 January 2024 (§§ 705 ff. of the German Civil Code, BGB, as reformed by the MoPeG), for two or three freelancers, self-employed people or a small team: name and seat, whether the GbR is entered in the partnership register as an eGbR, purpose, contributions and shares, management and representation, resolutions, profit and loss, notice, leaving, a partner's death, settlement and dissolution. Withdrawal from an online purchase or distance contract (Germany)
A letter withdrawing from a purchase made online, by phone or by catalogue, or from a contract signed at your door, in Germany. Under §§ 312g and 355 of the German Civil Code (BGB) a consumer may withdraw within 14 days without giving reasons. The letter carries everything the statutory model withdrawal form asks for — order date, date the goods arrived, order number, the goods, your name and address — in its own words, and asks for the refund within 14 days and a confirmation of receipt. Refund of an unauthorised payment or card chargeback — letter to your bank (Germany)
Your letter to your own bank in Germany when your account or card was charged without your consent — after card fraud or phishing, say. You dispute the transactions and demand the refund, which the bank must make by the end of the next business day at the latest (§ 675u of the German Civil Code, BGB). Report without delay and at most 13 months after the debit (§ 676b BGB). If you paid by card yourself but received nothing, the letter instead asks for a chargeback under the card scheme's rules. Request to inspect and copy the medical record (Germany)
The letter to a doctor's practice, hospital or therapist in Germany asking to inspect your treatment record (Behandlungsakte, formerly Patientenakte) and for a complete copy. It relies on § 630g of the German Civil Code (BGB) as in force since 6 February 2026 — the first copy is free, electronic ones included — and on Art. 15 GDPR with its one-month deadline. Shareholders' resolution to dissolve a GmbH and appoint liquidators (Germany)
The resolution by which the shareholders of a German GmbH or UG (haftungsbeschränkt) dissolve the company and name the liquidator, with the liquidator's power of representation and acceptance, the call to creditors, the one-year blocking period and who keeps the books. Three quarters of the votes cast, no notarial form (§ 60(1) no. 2 of the German Limited Companies Act, GmbHG); a meeting, a video meeting or a resolution in text form without a meeting. A notary then files it with the commercial register. In German.
Final demand for payment before a court payment order (Germany)
The last reminder to a debtor who has not paid, before you start the German court payment-order procedure (Mahnverfahren): the sum outstanding, the due date, default, default interest under § 288 of the German Civil Code (BGB) — five or nine points above the base rate, with the €40 flat fee only from business debtors — a final deadline, your account and notice of the payment order. Freedom of information request (Germany)
The request for access to official information held by a German authority — files, contracts, reports, e-mails or answers to questions: under the Federal Freedom of Information Act (IFG) from federal bodies, under the Land's freedom-of-information or transparency act from Land and municipal bodies, or under the Environmental Information Act (UIG) or the Consumer Information Act (VIG). You choose the act and the form of access; the letter asks for an answer within the statutory time limit, for notice of any fees in advance and for partial access rather than refusal. In German.
Mutual non-disclosure agreement (Germany)
A mutual NDA under German law for two businesses or freelancers who exchange confidential information before working together: the purpose, what is and is not confidential, sharing only with staff and advisers, an express ban on reverse engineering the samples and prototypes handed over (§ 3(1) no. 2 of the German Trade Secrets Act, GeschGehG), return and deletion, duration, and a contractual penalty of your choice — set at the injured party's reasonable discretion subject to the court, a fixed sum, or none. Signing it also counts as a reasonable secrecy measure under the Act. In German.
Pre-approval request and claim to a private health insurer (Germany)
The letter to a German private health insurer (PKV) in two situations: before expensive treatment, as a pre-approval request under § 192(8) of the Insurance Contract Act (VVG) — where costs are expected to exceed €2,000 the insurer must answer with reasons within two weeks if the treatment is urgent, otherwise four, or the treatment is presumed necessary — or afterwards, as the covering letter to a claim with the invoices. Call to creditors after a GmbH is dissolved — text for the Federal Gazette (Germany)
The text with which the liquidators of a dissolved German GmbH or UG (haftungsbeschränkt) announce the dissolution and call on creditors to come forward (§ 65(2) of the German Limited Companies Act, GmbHG): the company name with 'in Liquidation', its seat, register court and number, business address and the date of dissolution. Publication in the Federal Gazette (Bundesanzeiger) starts the blocking year, before which nothing may be distributed to the shareholders (§ 73 GmbHG). In German.
Request for a certificate of school attendance (Germany)
The letter to a school office in Germany by which parents, or pupils who are of age, ask for a certificate of attendance (Schulbescheinigung) — the confirmation that a child attends the school, as needed for example for child benefit for a child over 18, for education grants or for a pupil's travel pass. It gives the pupil's name, date of birth, class and school year, the office the certificate is for, the number of copies and the date it is needed by, and asks the school to complete that office's own form if one is enclosed. Application for an apostille (Germany)
The letter asking the competent German authority to issue an apostille under the Hague Convention of 5 October 1961 for a German public document — a birth or marriage certificate, a notarial deed or a certificate of good conduct — so that it is recognised abroad. It identifies the document, the body that issued it and the country where it will be used, and says how it should be returned. Which authority is competent depends on the document; within the EU, Regulation (EU) 2016/1191 removes the apostille for many documents. Request to present an extended certificate of good conduct (Germany)
The written request a club, nursery, school, youth-welfare provider or other organisation in Germany gives an employee or volunteer so that they can apply for an extended certificate of good conduct (erweitertes Führungszeugnis): under § 30a(2) of the Federal Central Criminal Register Act (BZRG), it is issued only to someone who presents such a request, in which the organisation confirms that the conditions of § 30a(1) are met. It names the organisation, the person and the activity, gives the statutory ground as a choice and says whether the work is voluntary, for a fee waiver. In German.
