Record & Protocol: templates and forms

For recording the appointment of a new president of a French SAS or SASU, or manager of an SARL or EURL, the end of the previous one's office (removal, resignation or end of term), or both, by decision of the sole member, the meeting or a deed signed by all. It gives the effective date, term and pay, and the person appointed signs to accept. The change is then declared online on the one-stop business formalities portal, with the legal notice and the new officer's declaration of no conviction. In French.

A Cypriot company's resolution appointing a new director, removing a director or recording a resignation under the Companies Law, Cap. 113: the company's details with its HE number, how the decision is taken, the director's details with identity card, passport or ARC number, the date it takes effect, the appointee's acceptance and who files. Section 178 allows a director to be removed without consent by ordinary resolution at a general meeting, after 28 days' special notice; the articles may provide another route too. The change is notified separately to the Registrar of Companies on form HE4 within 14 days.

The other half of a contract for work. The record fixes what has been accepted, what has been noted as defective, what remains to be put right and how much is owed. Without it, an argument about whether the work was finished is conducted from memory. It is signed by both sides at the moment of acceptance, not afterwards.

The written request and confirmation, addressed to the person, that clubs, schools, nurseries, parishes, care providers and other employers issue for the special criminal record certificates Kinder- und Jugendfürsorge (work with children) or Pflege und Betreuung (care work) under Austria's Criminal Records Act (§ 10(1b) and (1d) StRegG): that the person needs it for a specific paid or volunteer activity mainly involving minors or the care of defenceless persons, and whether the work is voluntary (fee exemption). The record a landlord and tenant in Austria fill in and sign together when the tenant moves in: meter readings, keys handed over, the condition of each room, the equipment (bath, WC, heating, boiler) that sets the category and the reference rent under the Austrian Tenancy Act (MRG), known defects noted with rent reduction reserved under the Austrian Civil Code (§ 1096 ABGB), the inventory, the energy certificate and the deposit. The record a landlord and tenant in Germany sign when a rented flat is handed over at move-in: meter readings for electricity, gas, water and heating, every key handed over, the condition of each room and an inventory of what is let with the flat. Defects already there are accepted only with the tenant's rights reserved — under § 536b of the German Civil Code (BGB), a tenant who takes over a flat knowing of a defect otherwise loses rent reduction and damages for it. For the landlord and the tenant of a home in Spain at the start of a lease: the record both sign on the day the keys are handed over, with the meter readings, the keys handed over, the state of each room, the inventory of furniture and appliances, the documents handed over, outstanding repairs and the number of photos attached. It records the state in which the tenant receives the home (articles 1561 and 1562 of the Spanish Civil Code). Signed in two copies, in person, and attached to the lease. In Spanish.
