An owner who cannot attend is represented by a proxy — but only on a written authority, which is attached to the minutes. Limit the powers if you do not want the proxy voting as they see fit: there is a separate field here for the items on which you are instructing them how to vote. A proxy that does not identify the meeting, or does not state the share of the common parts, is the one most often challenged.

Common questions
- Can one person represent several owners?
- Usually yes, but the rules or the law may cap the number. Check before the meeting — a proxy holding more authorities than allowed makes their votes, and sometimes the decision, open to challenge.
- Does the proxy have to be notarised?
- For taking part in a general meeting a written authority attached to the minutes is usually enough. Notarisation is required more rarely and depends on the association's own rules — check them, or the proxy may not be admitted.
- Can I instruct them how to vote?
- Yes, and that is why there is a separate field for instructions on particular items. Without such instructions the proxy votes as they see fit — convenient, but it means a decision on an important item is taken without you.
- Does the proxy cover an adjourned meeting?
- If it says so, yes — which is why the text covers a reconvened meeting as well. A proxy for one date alone becomes useless at exactly the moment it is most needed, because the first meeting very often fails to reach a quorum.
