The notice a Polish employee must give the employer promptly, and by the second day of absence at the latest: from when and until when the absence will last, the reason to underline — illness, caring for a child or family member, a closed nursery or school, or another — the document that will justify it, and a contact. An electronic sick note (e-ZLA) reaches the employer on its own, but does not replace this notice.

Common questions

By when must a Polish employer be told about an absence from work?
Promptly, and by the second day of absence at the latest, giving the reason and expected length (§ 2 of the regulation on justifying absence from work). If the work rules set no method, it can be done in person, through someone else, by phone, email or post — in which case the postmark date counts. A late notice is excused only by special circumstances, such as serious illness with nobody else at home.
Does a sick note have to be handed to the employer in Poland?
No. The doctor issues an electronic e-ZLA certificate, which reaches the employer automatically through ZUS's electronic services platform, usually the same day. The employee must still notify the employer of the absence within 2 days, because the certificate justifies the absence but does not replace the notice. A printed certificate is needed only exceptionally, for example when the system was down.
What are the consequences of an unexcused absence from work in Poland?
No pay is due for an unexcused absence, and the employer can impose a disciplinary penalty (art. 108 of the Labour Code). For a longer, deliberate absence without reason, the employer may even end the contract without notice for serious breach of duties (art. 52 § 1(1)). So even with a sudden illness, tell the employer straight away and keep proof of having done so.
