The service contract between a German GmbH or UG (haftungsbeschränkt) and its managing director (Geschäftsführer), separate from the appointment by shareholders' resolution. It covers duties and transactions needing the shareholders' consent, start and place of work, salary and variable pay, sick pay, holiday, a non-compete during the contract, confidentiality, termination and garden leave after removal from office. It records the director's shareholding and says when the director is insured as an employee: without shares always; a shareholder-director is self-employed only with a majority or a blocking minority over all company business. Freelance contract with grant of usage rights (Germany)
A contract between a business and a self-employed freelancer in Germany — in design, copywriting, programming, consulting or media, for example — granting usage rights in the work results under the German Copyright Act (UrhG). It describes genuinely independent work, without instructions on time, place and method and without integration into the client's organisation, and covers the fee, the small-business VAT rule, the artists' social levy, confidentiality and termination. The Universalschlichtungsstelle des Bundes in Kehl, Germany's catch-all consumer conciliation body, offers its own free online form. This document is your written application for it: the facts, your claim and its value, your earlier attempt with the trader and the declarations needed, to upload, email or post. The procedure is free for consumers, covers claims from €10 to €50,000 where no sector body is competent, and needs the trader to take part. Invoice for a small business under § 19 UStG (Germany)
An invoice template for small businesses that charge no VAT, with the note on the small-business exemption under § 19 of the German VAT Act (UStG) that § 34a UStDV has required since 2025: both parties' names and addresses, tax number or VAT ID, date, invoice number, the goods or services and the total, plus payment terms and the default notice. A small business has turnover of at most €25,000 last year and at most €100,000 this year; in the year it starts trading the limit is €25,000. It may keep issuing paper and PDF invoices for good, but must still be able to receive e-invoices. In German.
Request for a pupil's leave of absence from lessons (Germany)
The written request to a school's head in Germany to grant a pupil leave from lessons for an important reason, such as a family event that cannot be moved. It gives the name, class, dates, reason and evidence, states that the leave is not for extending the holidays, and asks for a written decision before it starts. Each Land's school law decides who grants leave and how early to apply; you choose the Land on the form. Missing school without permission to extend the holidays can lead to a fine. Application for a care level (Germany)
The application to a German long-term care insurer (Pflegekasse) for care-insurance benefits and the assessment that sets a care level (Pflegegrad) — for yourself or, with a power of attorney or a carer's card from the court, for someone else. An informal application is enough, but only a written one proves the date from which benefits run (§ 33 of Book XI of the Social Code, SGB XI). It flags the shorter deadlines after a hospital stay or announced care leave, and adds a ready letter claiming €70 per week begun if the insurer misses its 25 working days. In German.
Application to the health insurer to cover or refund costs (Germany)
The application asking a German statutory health insurer (Krankenkasse) to pay for treatment, a medical aid or another service — before treatment, as a request for cost cover with the three-, five- or six-week decision deadline of § 13(3a) of Book V of the Social Code (SGB V), or afterwards, as a claim for reimbursement where the insurer missed the deadline, could not provide urgent care in time or wrongly refused it. The data processing agreement (Auftragsverarbeitungsvertrag, AVV) every business in Germany needs when a service provider processes personal data for it — hosting, cloud software, payroll, newsletters, IT support. It contains everything Art. 28(3) GDPR requires: subject-matter, duration, nature and purpose, types of data and data subjects, instructions, confidentiality, security, sub-processors, assistance, deletion or return, information and audits, with annexes for the technical and organisational measures and the sub-processors. Complaint to a bank or savings bank (Germany)
A written complaint to your German bank or savings bank (Sparkasse) — about a faulty transfer, a card payment, charges, a blocked account, a loan or an investment. It sets out what happened and the remedy you want, and sets the time to answer: 15 business days for payment services, 35 in exceptional cases (§ 62 of the German Payment Services Supervision Act, ZAG). Complaining to the bank first is also the precondition for the banks' conciliation schemes — the private banks' Ombudsman, the Sparkassen body, the cooperative banks' BVR or the Bundesbank's conciliation body (§ 14 VSBG). Complaint about medical treatment (Germany)
One letter for four routes after treatment in Germany you are unhappy with or suspect was faulty: a complaint to the practice or hospital itself, a professional-conduct complaint to the regional medical chamber (Landesärztekammer), an application to the chamber's expert or mediation board (Gutachterkommission or Schlichtungsstelle), and a request to the health insurer for support under § 66 of Book V of the Social Code (SGB V). Request for a replacement school certificate (Germany)
The letter asking your former school in Germany for a replacement (Zweitschrift) of a lost or damaged certificate, such as the Abitur certificate or a school-leaving certificate. It names the certificate, the year it was issued, the years at the school and your name at the time, asks for your present name after a change of name, and asks about any fee beforehand. If the school has closed, it goes to the school that keeps its records or to the school administration of its operator. Objection to a decision of the health or care insurer (Germany)
The objection (Widerspruch) to a decision of your German statutory health or long-term care insurer (Krankenkasse or Pflegekasse) — for instance refusing treatment, a medical aid or rehabilitation, or setting too low a care level. With the decision's date, the reference, your reasons and a request to see the file, so you can add to the reasons once you have read the expert opinion. Special termination of an electricity or gas contract after a price rise (Germany)
Notice ending your electricity or gas contract in Germany after an announced price increase, without a notice period, on the day the new price is due to apply. Outside basic supply this rests on § 41(5) of the German Energy Industry Act (EnWG), in basic supply (Grundversorgung) on § 5(3) of the StromGVV or GasGVV; basic supply can also be ended at any time on two weeks' notice. With customer and meter numbers, supply address, date of the price notice, a fallback notice for the next possible date and a request to confirm the end date in text form. In German.
Claim to a childcare place: nursery or all-day primary care (Germany)
The letter to the local youth welfare office (Jugendamt) by which parents in Germany claim their child's right to a childcare place under § 24 of Book VIII of the German Social Code (SGB VIII): a nursery place or a childminder from the first birthday and — new since 1 August 2026 — all-day care for children who start Year 1 from the 2026/2027 school year. It gives the start date, the hours needed and the places already tried, and asks for confirmation of receipt and a written decision. The dated letter is the proof that counts if no place is found. Notifying the employer of sickness (Germany)
The written notice of sickness an employee in Germany gives the employer under § 5 of the Continued Remuneration Act (EntgFG): that they are unfit for work and for how long, with no diagnosis. For people with statutory health insurance it reflects the electronic sick note (eAU) — the employer fetches the certificate from the health insurer, but the employee must still report the absence at once. Resignation letter (Germany)
A German resignation letter (Eigenkündigung): ordinary notice ending your employment on the date you choose, or else on the next possible date, asking for confirmation of receipt, a full employment reference (qualifiziertes Arbeitszeugnis) and for remaining leave to be granted or paid out. Under § 623 of the German Civil Code (BGB), notice ending employment is valid only on paper signed by hand — e-mail, fax, scans and every other electronic form are void. Notice of a car sale to the motor insurer (Germany)
A letter telling your motor insurer in Germany that you have sold the car, as § 97 of the German Insurance Contract Act (VVG) requires without delay: the vehicle, plate, policy number, date and hour of handover, and the buyer's name and address. The policy passes to the buyer with the car (§ 95 VVG); without the notice the insurer may be free from liability for later losses. It asks for a final account, the refund of any credit and confirmation of receipt. In German, to send by post or as a PDF by e-mail.
Objection to a traffic fine notice (Germany)
A letter objecting to a German fine notice (Bußgeldbescheid) for a traffic offence, sent to the fines office that issued it: with the file reference, the date of the notice and the date it was served, against the notice in full or only against the penalty, with a request to inspect the file, and with or without reasons. Under § 67 of the German Administrative Offences Act (OWiG), the objection must reach the authority within two weeks of service, and a plain e-mail does not count. Private used car sale contract (Germany)
A contract for selling a used car or motorcycle between private individuals in Germany, under the German Civil Code (BGB). The exclusion of liability for defects is worded the way German courts uphold it: it does not cover fraud or a guarantee (§ 444 BGB), nor the seller's statements on mileage, accident damage, previous keepers and known defects, which stand in a section of their own. It also records the check of the registration certificate Part II, the date and hour of handover, retention of title, re-registration and the notice of sale. Employee's reply to a formal warning (Germany)
An employee's written reply to an employer's formal warning (Abmahnung) in Germany, to be added to the personnel file under § 83(2) of the German Works Constitution Act (BetrVG). It names the allegation, sets out the facts as the employee sees them, lists witnesses and asks either for the unjustified warning to be removed from the file or for the reply to be filed with it. There is no deadline and no duty to reply, but what is written can be used later. In German, to print, sign and hand over against a receipt.
Inventory of the spouses' starting assets (Germany)
A joint list, drawn up by both spouses in Germany, of what each owned and owed on the wedding day, plus inheritances and gifts received during the marriage, with values. Under § 1377 of the German Civil Code (BGB), an inventory the spouses draw up together, dated and signed by both, is presumed correct between them; without one, everything a spouse owns at the end is presumed to be gain when the gains are equalised on divorce. No notary needed. Separate property or another regime needs a notarised marriage contract, which this is not. In German.
Cancelling motor insurance (Germany)
A letter cancelling your German motor insurance with your current insurer: at the end of the insurance year, early after a premium increase or a claim, or after buying a used vehicle whose policy passed to you (§ 96 of the German Insurance Contract Act, VVG). For all cover or for the comprehensive cover only, asking the insurer to confirm the end date and refund any unused premium. Cohabitation agreement for unmarried couples (Germany)
An agreement for an unmarried couple living together in Germany: who owns or rents the home and who moves out after a separation, how household costs are shared, a list of who owns what, how joint purchases and debts are divided if they split up, and pointers to a health-care power of attorney and separate wills. German law has no property regime for unmarried couples. This agreement needs no notary because it deliberately leaves out land and promises of gifts (§§ 311b and 518 of the German Civil Code, BGB). Your request to the German tax office (Finanzamt) to bring the quarterly income tax advance payments into line with lower income under § 37(3) of the German Income Tax Act (EStG) — after fewer orders, higher business costs, parental leave, illness or the end of an activity. The letter gives the year, the current and the requested payment and the expected income, explains the change, covers the solidarity surcharge and church tax, and asks for overpaid amounts to be refunded.
