Proxy for a condominium meeting (Italy)
For a flat owner in Italy who cannot attend the condominium meeting: the written proxy of art. 67 of the implementing provisions of the Italian Civil Code, naming the condominium, the unit, the date of the meeting and the person authorised to attend and vote, with any voting instructions. The proxy holder may not be the building's administrator and, in buildings with more than twenty owners, may not represent more than one fifth of the owners and of the value. The proxy holder hands it in at the start of the meeting. In Italian.
Minutes of an S.r.l. members' meeting appointing or removing a director (Italy)
For the members of an Italian S.r.l. appointing or removing the sole director or a board member: the minutes in Italian of the meeting, with chair and secretary, the call or a fully attended meeting, members present and their holdings, the vote, the director's details, term and pay, and the acceptance of office signed by the person appointed. No notary is needed; the appointment must be entered in the Companies Register within thirty days (art. 2383 of the Italian Civil Code) through the Comunicazione unica. The majorities are those in the articles or, failing them, art. 2479-bis.
Tenant's notice of early withdrawal from a lease (Italy)
For a tenant in Italy who wants to leave a rented home before the lease ends: the notice of withdrawal to the landlord, for serious reasons under art. 3(6) of Italian Law no. 431 of 9 December 1998 or under the lease's own withdrawal clause, with six months' notice, the end date, a request to arrange the return of the keys, and the return of the deposit with interest. Sent by registered post with proof of receipt, by PEC if the landlord has a PEC address, or by hand against a signature. In Italian.
Notice of revocation of a power of attorney to a bank, the post office or others (Italy)
For anyone who has revoked a power of attorney and must warn the bank, Poste Italiane, the condominium, an office or anyone else the agent dealt with. Until third parties know of the revocation, the agent’s acts can still bind you towards those acting in good faith (article 1396 of the Italian Civil Code). The letter identifies the agent and the power, asks the recipient to stop accepting the agent’s requests and to confirm receipt. Send it by PEC or recorded delivery, one per third party. Many banks also have their own form.
Residential lease at a free rent, 4+4 (Italy)
For a landlord letting a home in Italy at a freely agreed rent, and for the tenant: the Italian 4+4 lease under Law no. 431 of 9 December 1998 — four years renewable for four more, rent and due dates, a deposit of up to three months' rent with yearly legal interest, a choice between the flat-rate cedolare secca tax and ISTAT indexation, the tenant's six-month exit for serious reasons, repairs, service charges and the energy-certificate clause. Signed in two copies; the landlord registers it with the Agenzia delle Entrate within thirty days using the free RLI form. In Italian.
Private sale contract for a used vehicle (Italy)
For a private person selling or buying a used car or motorbike in Italy: the contract between the two parties, in Italian, setting out the vehicle, price, payment, handover, mileage, known defects and the choice on the warranty against defects (arts. 1490–1495 of the Italian Civil Code). It does not replace the transfer of ownership: the seller has the signature on the declaration of sale authenticated at an STA (vehicle registration desk), a notary or, for an old paper certificate, the Comune, and the buyer has it entered in the PRA register within 60 days.
Formal demand to the employer for unpaid wages and overtime (Italy)
For a worker in Italy, still employed or not, who has not received wages, the thirteenth-month pay, overtime or other items. The letter lists the gross sums owed month by month, puts the employer formally in default with a deadline to pay, claims interest and revaluation, and interrupts the five-year limitation period. It announces the next step: the free request for intervention to the territorial labour inspectorate, for conciliation or a compliance order (diffida accertativa). Sent by registered post or PEC. In Italian.
Delegation to collect documents, certificates and registered letters (Italy)
For anyone who cannot go in person and asks someone to run an errand: collecting a criminal-record certificate (casellario giudiziale) or another certificate, a registered letter held at the post office, a ready report or a document, or handing in a file. Poste Italiane and many offices have their own free delegation form: if the office asks for it, use theirs. This Italian delegation names the task, the office and the expiry date; the delegate brings their own ID and a copy of the delegator’s.
Landlord's refusal to renew a 4+4 lease at the first expiry (Italy)
For a landlord in Italy who does not want to renew a 4+4 lease after its first four years: the notice to the tenant refusing renewal on one of the grounds of art. 3(1) of Italian Law no. 431 of 9 December 1998 — residential or professional use by the landlord or close family, another free home available to the tenant, or a sale — with the facts that make it precise, because a notice without its ground is void. Sent by registered post with proof of receipt to every tenant at least six months before expiry. In Italian.
Record of return of a rented home (Italy)
For landlord and tenant in Italy at the end of a lease: the record both sign when the keys are handed back, with the meter readings, the keys returned, the state of each room compared with the handover, any damage beyond normal wear, each party's reservations, the deposit paid and what is agreed on returning it, and the tenant's new address. It fixes the state of the home on the day of return (art. 1590 of the Italian Civil Code) and is made in two copies. In Italian.
Parents’ authorisation for a minor travelling with another adult (Italy)
For parents who entrust their child to a grandparent, relative, teacher or sports group for a trip within Italy or abroad. A child under 14 travelling abroad without a parent needs the declaration of accompaniment (dichiarazione di accompagnamento) stamped by the Questura, which is free: this Italian letter does not replace it. The letter names the companion, the dates, the destination and the parents’ phone number; both parents sign it and attach copies of their ID.
Notice to the employer of leave under Law 104 (Italy)
For a private-sector employee in Italy whom INPS has granted the paid leave of art. 33 of Italian Law 104/1992, to care for a relative with a severe disability or for themselves. The application goes first to INPS, online and free, or through a patronato; this letter then gives the employer the details of the authorisation, with a copy enclosed, and the monthly schedule of days or hours, which the employer may ask for. The letter does not describe the disability. Send it by registered post, PEC or by hand. In Italian.
Resignation letter during pregnancy or with a child under three (Italy)
For a pregnant employee, or a mother or father in the child's first three years (adoptive or foster children included), resigning in Italy. These resignations do not go through the online procedure: they are given in writing to the employer and take effect only once confirmed, free of charge, by the territorial labour inspectorate (Ispettorato territoriale del lavoro). The letter states the notice or, within the child's first year, that none is due, and the last working day. Sent by hand, registered post or PEC. In Italian.
Notice naming the driver for a penalty-points fine (Italy)
The ticket usually comes with the police body's own free form for naming the driver, which can be used instead. This is the same notice as a letter in Italian, for the owner, the legal representative of a company or the lessee: the ticket's details, the driver's details and driving licence, with the driver's signed confirmation. It must be sent within 60 days of service (art. 126-bis of the Italian Highway Code), by registered post, PEC or by hand, even if you appeal or the owner was driving.
Notice to the landlord of a partial sublet (Italy)
For a tenant in Italy who wants to sublet a room in the home they live in: the notice to the landlord required by art. 2 of Italian Law no. 392 of 27 July 1978, naming the subtenant, the length of the sublet and the rooms sublet. Unless the lease forbids it, a partial sublet needs no consent from the landlord, only this notice by registered letter; subletting the whole home or assigning the lease does need the landlord's consent. In Italian.
Employee confidentiality agreement (Italy)
For an employer and employee in Italy who want confidential information protected after the job ends, when the duty of loyalty under art. 2105 of the Italian Civil Code lapses. The agreement defines the confidential information, how long the duty lasts after the job ends, the exceptions (public information, legal duties, whistleblowing reports) and the return of documents. It is not a non-compete clause: it does not restrict future work and sets no penalty. In Italian.
Appeal to the Prefetto against a traffic fine (Italy)
An appeal to the Prefetto is free, on plain paper and has no set form; many Prefetture and the consumer association Altroconsumo publish free models. This is a ready-made appeal in Italian for the driver or owner contesting a fine under the Italian Highway Code: the ticket's details, your own grounds, a request to be heard and to have the fine dismissed. It must be lodged within 60 days of service, by registered post, PEC or by hand, with the Prefettura of the place of the offence or the police body that issued it, and only if the fine is unpaid.
Disciplinary charge letter to an employee (Italy)
For an employer in Italy who must put a charge to an employee in writing before imposing any disciplinary penalty beyond a verbal warning (art. 7 of the Italian Workers' Statute). The letter describes the facts with date and place, names the rule breached and gives the five days, or the longer period of the collective agreement, for a written explanation or a hearing with union assistance. Hand it over against a signed receipt, or send it by registered post with proof of receipt. In Italian.

For the members of an Italian S.r.l. approving the annual accounts: the minutes in Italian of the ordinary meeting, with chair and secretary, the call or a fully attended meeting, members present and holdings, the vote, the year's result and the allocation of profit or cover of a loss. The accounts must be put to the members within 120 days of the year end, or 180 if the articles allow (art. 2478-bis of the Italian Civil Code), and filed with the Companies Register within thirty days of approval. The accounts themselves, prepared by the directors, are attached.
Minutes of an ordinary S.r.l. members' meeting (director's pay and other decisions) (Italy)
For the members of an Italian S.r.l. taking ordinary decisions in a meeting: the director's pay, approval of a transaction the articles reserve to the members, appointment of the auditor or other matters under art. 2479 of the Italian Civil Code. The minutes, in Italian, set out the agenda, chair and secretary, the call or a fully attended meeting, members present and holdings, the vote and the decisions, and are copied into the members' decisions book. Not for amending the articles, raising capital or winding up: those need a notary.
General power of attorney as a private writing (Italy)
For anyone who wants a trusted person to handle their everyday affairs: paying bills and taxes, collecting money, picking up documents, dealing with the building’s condominium and with offices. Under Italian law a private power covers only ordinary administration and the acts expressly listed; selling or buying property, a gift or any act to be registered needs a notarial power. Banks and Poste Italiane may ask for their own forms. Signed by the principal and accepted by the agent.
Free loan agreement for a vehicle (comodato) (Italy)
For an owner lending a car or motorbike free of charge to a relative, friend or colleague in Italy: an Italian contract covering the vehicle, duration, permitted use, costs, insurance, fines and return (arts. 1803–1812 of the Italian Civil Code). If the loan exceeds 30 consecutive days, the borrower must ask the Motorizzazione within 30 days to record the borrower's name on the Documento Unico (art. 94(4-bis) of the Highway Code), unless a cohabiting family member; the contract states this duty, but the entry is a separate step. Signed by both; a copy is best kept in the vehicle.
Reply to a disciplinary charge (Italy)
For an employee in Italy who has received a disciplinary charge letter and wants to answer in writing within the five days set by art. 7 of the Italian Workers' Statute, or the longer period of the collective agreement. The letter refers to the charge, sets out the explanation written by the employee and can ask for an oral hearing, also with a union representative. Hand it over with the copy signed, or send it by registered post or PEC. In Italian.
Application to the Prefetto to change a first name or surname (Italy)
For an adult Italian citizen asking to change their surname or first name, or to add one, such as the mother’s surname. The application goes to the Prefetto of the province of residence or of the one holding the birth record (article 89 of Italian Presidential Decree no. 396/2000), with the reasons and the name sought. Many Prefetture publish their own free form: if there is one, you may use it. It needs a € 16 revenue stamp (marca da bollo, from a tobacconist; online via @e.bollo or F24), except for ridiculous or shameful surnames.
